Terms of service

1. The service

CertifyPilot is a hosted software service for certification bodies and consultancies to manage certification, audit and consultancy records ("the Service"). We grant you a non-exclusive, non-transferable right to use the Service for your internal business purposes for the term of your subscription.

2. Accounts and trials

You are responsible for everyone you invite into your workspace and for keeping credentials confidential. Trials last 14 days; a workspace whose trial ends without a subscription is paused, not deleted, for 90 days, after which it may be removed.

3. Fees

Fees are as published at certifypilot.io/pricing or in your order, payable in advance, exclusive of VAT. We may change list prices with 30 days' notice; changes apply from your next renewal.

4. Your data

You own the data you enter. We process it only to provide the Service, under the Data Processing terms in our Privacy Policy. You may export your records at any time. We keep encrypted backups for 30 days.

5. Acceptable use

You must not use the Service to store material you have no right to store, to attempt to access another customer's workspace, or to circumvent security controls. Clause text of ISO standards is copyright ISO and may only be entered if you hold a licence.

6. Availability and support

We aim for 99.9% monthly availability excluding announced maintenance. Support is by email during Irish business hours; Enterprise plans include a named contact and service levels set out in the order.

7. Your responsibilities as a certification body

The Service supports, but does not replace, your management system and accreditation obligations. Decisions on competence, impartiality and certification remain yours. Calculations such as audit time are provided as an aid and must be verified by a competent person.

8. Liability

To the extent permitted by law, our total liability in any 12-month period is limited to the fees paid for that period, and we are not liable for indirect or consequential loss. Nothing limits liability for death, personal injury or fraud.

9. Termination

Either party may terminate at the end of the current billing period. We may suspend access for non-payment or material breach. On termination you have 30 days to export your data.

10. Governing law

These terms are governed by the laws of Ireland and the courts of Ireland have exclusive jurisdiction.
